Terms and Conditions

These Terms & Conditions set out all the terms and conditions upon which we provide you and your guests (“you” and “your”) with access to The Lobby Gaming Lounge.

1. INFORMATION ABOUT US

1.1 The Lobby Gaming Lounge is a business owned by Lois McCoy as a sole trader. We are a business registered in Northern Ireland. Our business premises is 60 Forthill Street, Enniskillen, Co. Fermanagh, N. Ireland, BT74 6AJ.

2. MAKING A BOOKING

2.1 All details of our prices can be found on our website. Our prices for our services may change at any time, but this does not affect any prices relating to an existing contract you have with us. We reserve the right to promote the same or similar products and services at different prices, or on different terms, in connection with any offer or promotion we may run from time to time.

2.2 Any booking made shall not be confirmed until we have sent you a booking confirmation email.

3 Booking a service 

3.1 When booking a service (either on the website or through contacting us) you will be asked to provide personal details including full name, phone number, email address, full address and date of birth. These details will be kept on our system and nor used except in situatuons such as future bookings, contact about bookings or an incidents that have happened.

3.2 Booking will include you (our customers) choosing a service (e.g. Gaming PC or Playstation 5), a date, a start time and an amount of time per each service.

4 Booking a party/ group

4.1 all details of our party/ group packages can be found on our website and social media pages. party and group  bookings can be made either through our website or social media pages and customers will be then asked to fill out our party/ groupbooking form. 

 

4.2 when booking you will be asked for an estimated number of attendees. we have a limited number of consoles but sharing screens and rotating can be used if the number of attendees are above the number of consoles. 

4.3 the estimated number of attendees must include both adults and children that are playing. the number of attendees will changed on the day to reflect actual numbers. For party and group prices there must be at least 5 people playing.

4.4 consoles included in party or group bookings are gaming pcs, xbox series s, playstation 5, nintendo switchs and vr headsets.

4.5 party/ group booking dates must be made at least a month in advanced. we can accommodate parties or groups within a shorter period of time however we cannot guarantee personalised extras that may be included. 

4.5 all parties and group bookings will have an employee working to help with equipment and games. at least one adult must be at the party/ group at all times. this adult will be responsible for all children attending the party from arrival until departure.

5 food

5.1 we do not make any food in-house . any food provided will be from external vendors.

5.2 if any attendee within the party/ group have any allergen, intolerances or dietary requirements please include these in the booking form.

5.3 cake bookings with be from opal moon bakes in lisbellaw.

5.4 food options will be from either 

6 exclusive use

6.1 a booking does not grant you use of the entire premises. you will be able to make use of the gaming room for your allotted time. if you have a party/group booking you will have this room to yourself.

 

6.2 for party/ group bookings you will have access to the upstairs room for 45 minutes to eat food and have cake. please insure all attendees stay within this room as we will be open to the public and this insures everyone is safe. 

 

6.3 this does not include the bathroom. the bathroom is the same room as the gaming room and can be used whenever needed. 

 

7 age appropriate gaming

7.1 the lobby gaming lounge and its staff are no way responsible for any games played by attendees. responsible adults assume full responsibility for any games played by children. this includes children playing games under the recommended age for said game.

 

8 Behaviour 

8.1 we reserve the right to remove or request the removal of anyone inside the premises if we judge their behaviour as aggressive, bullying, dangerous or hostile towards our equipment, property, other gamers, customers or staff.

8.2 Any damage caused during the event that we deem improper behaviour (intentional) by anyone inside the premises or included in the party will result in the booking party being financially responsible for the damage to be replaced as new. At this time, we may also abandon the event with no refunds given.

8.3 the lobby gaming lounge does not tolerate bad language, threatening, disrespectful or aggressive behaviour towards our staff or other event attendees. We reserve the right to request verbal intervention by an adult member of the booking party. We also reserve the right to request the removal of anyone from the premises as necessary, or end the event at any time without refunds.

8.4 We reserve the right to request the removal of any event member if there is adequate reasoning to believe they are under the influence of drugs or excessive alcohol consumption, in line with our Alcohol Policy. Failure to comply with these rules may be temporary or in complete gameplay stoppage.

9. photography and social media

9.1 We may take photos and/or short videos for advertising purposes. This may be used on our website or other social media advertising platforms. As we cannot seek permission from the parents of all the children attending regarding photos and videos, we ask the booking party to let us know if you’d prefer no photos or videos. You are also welcome to take photos as you please.

10 payment

10.1 Payment for bookings can be paid online with your booking or on the day when you arrive for your booking.

10.2 payment for party/ groups are spilt in two. a deposit must be made within a week of making the booking (unless the party/ group is booked within a week- other arrangements will be made if this is the case) the deposit will be 50% of the party. 

the other 50% will be made on the day when certain amendments will be made (attendee numbers)

10.3 payments can be made by cash or debit or credit card.

11 cancellations

11.1 cancellations by you

11.1.1 if you wish to cancel or amend your party/ group booking for any reason you must communicate this to us in writing. We may not be able to amend or change bookings due to exceptional circumstances, but this will be on a case-by-case basis.

11.1.2 the deposit is nonrefundable. if the party is cancelled two weeks in advanced of the party you will not have to pay the remainder. 

11.2 cancellation by us

11.2.1 if we believe the party booking is somehow illegal or would be harmful or prejudiced to the reputation of the lobby Gaming Lounge

11.2.2 You and your invitees must comply with all rules and regulations currently operating on the Premises. We reserve the right to deny admission or to require a person already admitted to leave the Premises without refund or compensation for failure to comply with any of the looby Gaming Lounge rules for unsafe, illegal or offensive behaviour to ensure safety, security or order, or if we consider the circumstances so required.

11.2.3 We reserve the right to close off any part of the facilities, party venue or Premises for technical, operational or health and safety issues. We will not be liable to you if any foreclosure occurs.

11.3 in the event there is any act or event beyond our reasonable control including without limitation strikes, lock-outs or other industrial action by third parties, civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war (whether declared or not) or threat or preparation for war, fire, explosion, storm, flood, earthquake, subsidence, epidemic or another natural disaster, or failure of public or private telecommunications networks we will contact you as soon as reasonable possible and our obligations under these conditions will be suspended.

11.3.1 In the event that the contract still cannot be performed or any of the obligations are fulfilled within three months because of said events then the customer can terminate the contract.

12 technical difficulties

12.1 By their very nature, online games depend on the performance of their online servers. If the game server is having difficulties or encounters an update, this can cause issues such as delays, lagging, etc. We cannot be held responsible for these issues. We offer alternative games or consoles to gamers when a server issue causes major disruption to the game.

12.2 Online games depend on a fast internet connection. Here at Elite Gaming Lounge, we have installed the fastest available broadband and connected all consoles via Ethernet to provide the fastest and most reliable connection. However, on rare occasions, the internet service provider may encounter a fault or create unexpected disruption. If insufficient internet is still unavailable, our staff will make every effort to not allow this to affect the enjoyment of the event. Offline gameplay will be prioritised, followed by alternative entertainment, e.g., board gaming. We are in no way obliged to offer any discount to the event organiser if certain games or gameplay are unavailable due to a lack of internet reception. If neither of these options is available, we will organise a reschedule of the party for you at no cost. If the gamers are unable to use the consoles for more than half of the gaming time, we will refund the party cost minus any expenses already incurred by us.

12.3 Our consoles are checked daily for game updates. Still, with no prior warning or control over what time or date game updates are released to the world by the game manufacturers, we can’t guarantee the playability of all games. Although we will always try to ensure all games are available, if a game requires an update during a gaming event, we will accept no liability for the lack of gameplay for the specific game in question. 

13. General

13.1 Each party will be allocated a party slot. Party slots follow strict time restrictions, and any lateness will result in lost time from your party. Please advise your guests to arrive promptly for your party, as we cannot add extra time to the end of your party slot. We recommend you meet your guests earlier and arrive at the venue together before your party’s start time.

13.2 We place great importance on the safety of third parties and ensure that all those attending the party respect the high standards of safety. Third parties are only admitted to Premises if they are willing to comply with any regulation in force at the Premises from time to time.

13.3 The use of illegal substances is strictly prohibited. Any persons found possessing, using, or who appear under the influence of illegal substances will be refused admission or escorted from the Premises without the right to a refund.

13.4 All items, belongings, and other property brought into the lobby Gaming Lounge by visitors shall be at such visitors’ own risk, and the lobby Gaming Lounge accepts no liability for any loss or damage to such property. 

13.5 We reserve the right, in our absolute discretion, to refuse admission to our Premises or remove from the premises any person who has behaved or is behaving, or we have reason to believe, will behave in a manner which, in our opinion, has affected, or is likely to affect, the enjoyment of the Premises by any other third party.

13.6 You shall be liable for any damage to the Premises caused directly or indirectly by your party booking.

13.7 We shall not be liable for a third party’s failure to provide, or negligence in providing, any goods or services to you, and you shall indemnify us and keep us indemnified from and against any costs incurred by us as a result of any cancellation of any third-party services contracted by you.

13.8 You acknowledge that there are various CCTV cameras positioned at different locations within the Premises for the purposes of safety. You accept that your image and any third party may be captured whilst in and about the Premises.

13.9 No use may be made of any the lobby Gaming Lounge name, logo, or company details without our prior written consent.

13.10 No signs, displays, posters or other material may be fixed to the Premises’ walls, floor or ceilings or otherwise displayed at the Premises without the agreement of our staff.

13.11 We are obliged to comply with various licensing and statutory regulations. Accordingly, we require you and any third party to comply with any reasonable and proper instructions given to you by any duly authorised representative of the lobby Gaming Lounge. You shall indemnify us and keep us indemnified of any loss, damages or expenses we suffered or incurred due to a breach of this condition.

13.12 With the exception of guide dogs for the blind, pets are not permitted on the Premises.

13.13 Any discounts, offers, sales or promotions offered may not be used in conjunction with any other discounts, promotions or offers unless expressly stated otherwise. They are non-transferable, and application of the same are subject to our acceptance of them on every occasion of use.

13.14 if you choose to make an account with us, we treat such information as confidential. you must keep your username and password secure and confidential.

13.15 Our site is directed to people residing in the UK. We make no promise that content available on or through our site is appropriate or available for use in locations outside the UK

13.16 This contract is between you and us. No other person shall have any right to enforce any of its terms.

13.17 by using our site you confirm you read these terms and conditions and you agree to these terms and conditions
